If you are a school or potential Academic Mentor applying to the The National Tutoring Programme – Academic Mentors, we use your personal data to process your application, contacting you in relation to your application and responding to any enquiries you may have about your application.

If you are a potential applicant, we use your personal information to stay in touch with you and to respond to any enquiries you may have.

If you are a school registering with the The National Tutoring Programme – Academic Mentors, we use your personal data to process your application, assess the needs of your school and to place a suitable Academic Mentor with you.

If you submit an expression of interest for an Academic Mentor position through the website, we automatically process this to determine your eligibility for the programme, which may result in you being considered ineligible for the programme. This is necessary for us before we can start the Academic Mentor registration process with you.

Our automatic eligibility screening process may involve screening your qualifications or obtaining information related to any criminal convictions. When you submit an expression of interest form on the website it is processed and saved in our Volcanic database. We will not send you marketing messages such as newsletters or events unless you have opted in to receive these messages.

We may share your personal data, such as your contact details and application details, with our Academic Mentor training providers, the schools with whom we partner to place Academic Mentors, and the Department for Education, in order to ensure that they have accurate details about you.

We may also share your personal data with third parties who perform services on our behalf. For example, we may issue invitations to fundraising events or send newsletters through Mail Chimp and organize events through EventBrite. We will not send you marketing messages such as newsletters or events unless you have opted in to receive these messages.

Mailchimp, Mailmunch and EventBrite are based in the United States but have self-certified with the EU-US Privacy Shield, which means they are considered as providing adequate safeguards for international transfers. Skype for Business Server data is stored in the Exchange Server. Access CRM is a full cloud-based server. Volcanic server data is stored in Dublin, Ireland. Microsoft Teams, Skype, Outlook, Office 365 and Sharepoint server data is stored in Australia. If the Processing of the User Customer Data involves transfer of such data outside of the European Economic Area (EEA) and the European data protection regulations apply to the transfers of such data, these transfers will be conducted in compliance with all applicable data protection regulations.

We use your personal data for all these purposes on the basis that it is in our legitimate interests to administer the application process and the programme efficiently. It is also in our legitimate interests to remain in contact with you in order to ensure that we are providing the best service possible, that any complaints or concerns can be dealt with promptly, and that our records are kept accurate and up to date.

Retention of personal data

We will keep your personal data as long as you are an applicant to or a participant in the programme, for as long as you remain affiliated to a partner organisation, or for as long as you are a supporter. When determining how long we will retain your data beyond this period, we take into account our legal obligations and the expectations of regulators, as well as how long we need to retain that data for our internal audit purposes.

Your rights over your personal data

Please let us know if any of your personal data that we hold about you changes so that we can correct and update the information on our systems. You have the right to require the National Tutoring Programme – Academic Mentors to delete or update your personal data.
